Record every bill against a project
Each vendor or material bill should be linked to the project and, ideally, to the piece of work it was for. Unlinked bills are how margins disappear.
Track payments separately from bills
A bill can be paid in parts. Record each payment so you always know what is still outstanding to each vendor.
Compare against the estimate
Review quoted value, customer receipts and vendor spend together at each milestone, not only at handover.
